Signing in

What is my login?
Your email address - the one your welcome email or registration pack was sent to. Passwords are chosen by you, never sent in an email.
I have not set a password yet
Use the Set my password / Confirm and choose my password button in your welcome email. The link works for a limited time; if it has expired, click Forgotten your password? on the sign-in page and a fresh one is emailed to you.
I have forgotten my password
Click Forgotten your password? under the password box, enter your email address and follow the link in the email. Links are one-time and expire, so use the most recent one.
The welcome email has not arrived
Check your junk or spam folder first - it comes from Facilities Management with a PDF attached, which some mail systems filter. If it is not there, ask the admin to press Resend welcome pack against your name on the Users page.
My account is locked
Too many wrong passwords locks the account for a short period. Wait for the time shown, or use Forgotten your password. Repeated locks: ask an admin to press Unlock on the Users page.
Can I install it on my phone?
Yes. Open the site in Chrome (Android) or Safari (iPhone), then choose Add to Home Screen. It opens full screen with its own icon and lets you take photos straight from a job. Samsung Internet does not support this - use Chrome.
I see "You are offline"
The app needs a connection to save anything. The offline page appears when the phone has no signal or wifi - reconnect and it carries on. Nothing you had already saved is lost.

Contractors and LNT staff

How do I know a job has been sent to me?
You get an email with an Open the job button that takes you straight to it, and it appears under My jobs when you sign in. The response clock starts the moment it is assigned.
What are the steps on a job?
Accept it, book a date and time (the care home is told), tap I'm on site when you arrive and add before photos, then complete with after photos, notes and a signature from a member of staff. Maintenance at the home then verifies the work.
What do the green, amber and red chips mean?
Each priority (P1-P4) has time limits to accept, attend and complete. Green means there is time, amber means 75% of the limit has gone, red means it has passed. On-time performance is reported back to the care home group.
The fault is not as described
Add a note on the job page before you complete it, so the admin and the home know. If you cannot do the work, say so in the note and the admin can reassign or reject it back to maintenance.
Can I change the booked date?
Yes - rebook from the job page and the home is told the new time. Please do it as soon as you know, so staff are not waiting in.
Can I send documents for the home?
On the job page use Documents for the home to upload certificates, invoices or reports. They go into that care home's Vault under Contractor documents, where the admin can see them.
Why can I not see the Vault or inspections?
Contractor and LNT staff logins only see their own jobs. Home documents and inspection reports are for admins and the care home.
I am LNT staff - is it different for me?
No. Jobs are assigned to you exactly like a contractor and you use the same My jobs pages. You just appear under LNT staff on the admin side.

Admins

How does a defect get here?
Maintenance at a care home sends it from Maintenance Logs. It lands under Defects as Received, and every status change here is written back to the home's repair card automatically.
How do I assign a job?
Open the defect, press Assign, then choose a contractor or an LNT staff member (or reject it back to maintenance with a reason). They are emailed straight away with a link to the job and the KPI clock starts.
How do I add a contractor, LNT staff or admin?
Contractors: Contractors page - save the company and the registration pack is emailed with a set-password link. LNT staff and extra admins/viewers: the Users page, each section has its own Add button. Contractor and LNT staff logins always receive the welcome pack and choose their own password.
What is a Viewer?
A read-only login. Viewers can see Defects and each home's Vault but cannot assign, edit, upload or change anything. Use it for managers who need to look but not act.
Can I delete a user?
Yes, from Users, except the system admin account and yourself. LNT staff with open jobs must have them reassigned first. Their name stays on past jobs.
Where are a home's documents?
Care homes - open the home's folder. Inside are its details, the Vault (folders of documents) and Inspections. PAT certificates, TMV schedules, inspection reports and contractor documents are filed there automatically.
What is the Maintenance link?
A read-only link to a home's Vault that you give to the maintenance person at that home. It shows the Vault only - never private files, inspections or anything else. Care homes → Maintenance links lists them all; Reset issues a new link and kills the old one.
Can I email documents into the Vault?
Yes. From an admin or LNT staff email address, send the files to vault@fm247.online with the subject Home name / Folder (add [private] to hide them from the maintenance link). You get a reply confirming what was filed.
How do inspections work?
Inside a home's folder press New inspection, rate each internal and external area and add notes. Save inspection keeps it in progress; once every area is rated the button becomes Complete inspection, which locks it and files a private PDF in the Vault.
How does the TMV schedule work?
Pick the premises. If nothing is in progress you see the date of the last completed schedule and can start another; otherwise the open one loads. Rows save as you go. Once every valve has its final check, Submit schedule locks it and files the PDF in the Vault.
Why did Pull from Maintenance Logs fail?
A 502 or timeout means the Maintenance Logs server did not answer - it is not a fault here. Try again in a minute; the sync retry runs automatically every ten minutes as well.
Can I change the colours?
Yes - the theme picker in the header offers day, night and several colour themes. It is remembered per device.

Care homes and maintenance

I sent a defect - what happens next?
It appears on the Facilities Management dashboard as Received. When it is assigned, booked, attended and completed, each step is written back to your repair card in Maintenance Logs, with the contractor's photos and notes.
What is the link I was given?
A read-only view of your home's document Vault - certificates, schedules and reports filed for your home. Keep it private; if it is shared by mistake, ask the admin to reset it.
The contractor has not turned up
Check the booked time on the repair card. If it has passed, tell the facilities admin - the job shows red against its KPI and they can chase or reassign.

Data and privacy

Who can see what?
Admins see everything. Viewers see defects and Vaults, read-only. Contractors and LNT staff see only jobs assigned to them. Maintenance links see one home's Vault, excluding private files and inspections.
Is the system registered with the ICO?
Yes - the registration reference and certificate are shown at the bottom of the sign-in page.
Where are photos and documents stored?
On the fm247.online server, outside the public web folder, and served only to signed-in users who are allowed to see them (or via a valid maintenance link for non-private Vault files).
Who do I contact for help?
Reply to any email you have received from the system, or email admin@fm247.online.
